Moving from a register and a spreadsheet
Almost every institution we build for keeps students in a notebook, fees in Excel, and everything else in WhatsApp. Here is how that becomes one system in an afternoon, without closing for a week.
- 1
Bring your students in from the spreadsheet
Upload the file you already have. Columns are matched on screen, problems are shown before anything is saved, and a bad import can simply be redone — nothing is committed until you say so.
- 2
Create the groups you actually run
Name them what you call them. Set the days and the time and the schedule builds itself; you do not enter individual classes.
- 3
Start with attendance, not with money
Attendance is the habit that makes everything else work, and it is the fastest thing to prove. Give it a week before you move fees across.
- 4
Move fees from this month forward
You do not need to re-enter last year. Start the ledger at the current month and leave history where it is — the two do not have to live in the same place for either to be correct.
- 5
Keep WhatsApp. Stop typing into it.
Receipts, notices and reminders still arrive on WhatsApp, because that is where parents read them. The difference is that they now come from a record instead of from somebody's memory at nine at night.
What you keep
Your fee structure, your group names, your receipt numbering, your language, and your way of working. The product records what you do; it does not tell you how to run an institution.
What you can leave behind
Adding the same student to three places. Working out who owes what on a Friday night. Wondering whether the register and the cash box agree.
If they can use WhatsApp, yes. Marking attendance is a list and a tap per student. Teachers see only their own groups, so there is no menu of things that are not their job.

Register your institution, add a group and a handful of students, and mark your first session. Upgrade when you need what the paid plans add, not before.
